Taking the Lead: Managing Print & Production at WordCamp Nepal 2022

Reflecting on my experience leading the Print and Production team at WordCamp Nepal 2022 in Bharatpur, managing event branding, physical assets, and community collaboration.

A Full Circle Moment in Bharatpur

Returning to Bharatpur for a WordPress event always brings a rush of nostalgia. Back in 2019, I started my community journey here as an organizer on the design team for the city's very first WordCamp. Fast forward to November 5-6, 2022, the stakes were higher. WordCamp Nepal 2022, held at the beautiful Chitwan Garden Resort, was a massive gathering that combined both an Event Day and a Contributor Day. This time, I stepped up into a new leadership role: heading the Print and Production team.

If my early experiences at WordCamp Bharatpur and Butwal taught me the digital side of event branding, WordCamp Nepal 2022 was my masterclass in translating those pixels into physical reality.

The Reality of Print and Production

Designing a beautiful banner on a screen is one thing; ensuring it prints perfectly on a massive flex board, in the exact brand colors, and is installed securely at the venue is an entirely different beast. As the lead for Print and Production, my responsibilities shifted from just pushing pixels to managing timelines, collaborating with vendors, and overseeing quality control.

The scale of WordCamp Nepal 2022 was incredible. We were tasked with preparing everything from the attendee badges, ID cards, and lanyards to massive stage backdrops, standees, and attendee swag. It was a high-pressure environment where missing a deadline meant an empty stage, and getting the color profiles wrong meant compromising the event's visual identity.

  • Vendor Management: Coordinating with local printing presses to ensure deadlines were met without compromising the quality of the merchandise.
  • Quality Assurance: Reviewing color proofs and physical samples to guarantee they matched the WordPress community's high branding standards.
  • On-Site Execution: Managing the physical setup of banners and visual materials before the attendees even walked through the doors of the Chitwan Garden Resort.

The Power of the WordPress Community

The most rewarding part of this role wasn't just seeing the final products—it was the teamwork. Leading a team means putting trust in others, delegating effectively, and stepping in when roadblocks appear. We had an incredible group of volunteers and organizers who worked tirelessly to ensure every printed asset was perfect.

Watching hundreds of attendees walking around wearing the badges we produced, taking photos in front of our backdrops, and interacting with the physical environment we built was an unmatched feeling of accomplishment.

Looking Back and Moving Forward

Leading the Print and Production team at WordCamp Nepal 2022 was a transformative experience. It pushed me out of my comfort zone, sharpened my project management skills, and gave me a deeper appreciation for the behind-the-scenes logistics that make tech conferences possible. The confidence I built navigating these logistical challenges played a huge part in preparing me to take the stage as a speaker the following year at WordCamp Kathmandu in 2023.

To anyone in the tech community thinking about volunteering: don't hesitate to take on roles outside your usual domain. The growth happens when you stretch your boundaries.
